General Circular (1) Wash-up dinner meeting minutes


Dear teachers and students,

Please be informed that a wash-up dinner was held on 14 December, 2009 and the ten participants (Committee Members) were Mr. Chan Pun Hon, Mr. Ho Man Sum, Ms Ho Yuk Kam, Ms Chiu Wing Fu, Chung Chi Hung (61 AM), Ng Yuen Wah (63 PM) Ma Yuk Wah (63 AM) Tse Shuk King (63 AM), Pang Suk Yee (63 AM) and Ma Sha Pun (63 AM). ( Lai Wai Kam (63 AM), LAU Kam Ling (64 pm), Chan Wai Yee (66 PM) and Tom Chan (69 PM) failed to come ) because they were too busy. Mr. Chan Pun Hon chaired the meeting and after a long and hot discussion for nearly an hour's time, the following information and decision were made:-

1. Appreciation and Gratitude
Mr. Chan Pun Hon and Mr. Ho Man Sum would like to take this opportunity to show their appreciation and gratitude to those members in the working group and the information team for their enthusiasm in the planning, industrious working and cooperation to make the dinner party a success. We particularly treasure the efforts and assistance contributed by Wu Ka Sing (63 PM), Simon Li (63 PM), Li Chi Kwong (62 PM), Stella Chu Shuk Chun (64 PM), David Ho Wai Kin (68 PM) etc in the previous gatherings and we sincerely hope they will join our working team again in time to come. (Kindly note that most working members in this gathering were from Year 1963 and we sincerely hope that more students of other years will offer their services to join the working group voluntarily in the hope that the future gatherings will be even more successful and fruitful. Will the school representatives nominate at least one student as committee member and we will negotiate with them in person? I should like to thank those class representatives of various years in the PM session who have the charm and cohesion force to tightly link their classmates together. Without them, the coordination of the party would not have been so smooth and fast.)

2. Annual dinner held on 5 December 2009
There were exactly 170 teachers and students participating in this party. Mr. Kong Tai Chi, Headmaster in the PM session did not turn up because he was busy and we should like to thank Ms Lam Lai Sau, Ms Mak Chow Po Ching and Ms Lau Tsang Ming Har who made their best effort to attend the party and also Mrs. Pang Wong Kar Ching and her spouse specially took a flight from San Francisco, USA to honour us with their presence. According to the feedbacks and comments from some participants, the gathering was generally regarded satisfactory and successful though the drastic drop of participants was rather unexpected (from 34 tables fall to 15 tables). In order to add more fun to the party, some students suggested to invite volunteers to perform some talent shows, singing more songs, etc in the future gatherings to bring the party to a climax.
(The food was up to the standard; the venue was much more spacious than the previous one and the dinner fees were reasonable and the firework in celebration of the Eastern Asia Athletic Competition added as an extra entertainment to our party.)

3. Dinner Fees
We should like to clarify that all teachers participating in the dinner parties paid the same dinner fees as those students except the honourable headmasters. From most feedbacks, the dinner fees were considered quite reasonable. To lower the dinner fees would mean to lower the standard of food and venue which are not at all desirable by most of the students.

4. Ledger and Surplus
According to the report given by Ms Lai Wai Kam who is responsible for the income and expenditure of the latest gathering that as at 15 December 2009 there is altogether a surplus of $29,223.30 accumulated from a. 50 Anniversary Dinner Party (1 December, 2007), b. another 50 Anniversary Dinner Party (14 March, 2008) and c. the 3rd Annual Cocktail & Dinner Party (5 December,2009) to be carried forward to the next dinner party. For detail, please refer to the balance sheets and ledgers attached previously.

5. Next Annual Dinner Party
The next annual dinner party will be tentatively held in December 2011; the exact date and particulars will be announced in due course. We hope that teachers and students will continue supporting this meaningful gathering. Cocktail party and dinner party are to be regarded as one function and that purpose of the cocktail party is to give more time to teachers and students to greet and chat after an absence of such a long time.

6. Donations and Gifts
In future gatherings, donations are welcome and that if they are in the form of gifts, please state their value in order to decide the orders of prizes.

7. Publication of a book
Mr. Ho Man Sum announced in the last dinner gathering that he had an idea to publish a book named "They come from Eastern Hospital Road Government Primary School". He has already found sponsors, publishers and editors. As there has never been a book published in this way in primary schools and that it is quite meaningful to arouse the interest and attention of parents the importance of primary education, I hope all students would support this by contributing valuable articles such as events in their childhood, their impression about their former teachers, sweet and bitter memories, their struggle to success, etc to accomplish this meaningful book. Detail will be announced later.

8. Re-organization of the Committee
With immediate effect, all working groups, information team, financial team will be grouped under one name, i.e. The EHRGPS Executive Committee. Mr. Ho Man Sum and Mr. Chan Pun Hon will be the Chief Executive Member 1 & 2 (CEM 1 CEM2) respectively while all students in the committee will be committee members, e.g Ma Sha Pun, EHRGPS Committee Member. In order to avoid repetition and confusion, care should be taken not to repeat sending out General Circulars and correspondences. We have the feeling that too many copies of repeated circulars will only confuse other teachers and students. If by special request, we should only forward the original one for the EHRGPS Committee to the person concerned. In future, General Circulars to all teachers and students should be in a series of numbers, i.e. General Circular 1, General Circular 2, etc. (Please don't repeat using the same number for any new general circular and that circulars among members in the committee should be regarded as "Restricted". Sender names alone should only be used for private exchange of views, ideas and correspondences confining to the persons concerned. We will keep all of you informed if there are any new members joining the EHRGPS committee.

9. New Ideas or Requests
Feedbacks, new ideas and requests are always welcome. We will group them together to be discussed in the committee and that a reply will be officially given to you once our decision has been made. Looking forward to meeting all of you in the coming dinner party!
